CASE STUDY / FINANCE AUTOMATIONLet the financial process,
Every step hasBasis.
I write AP automation workflows around supplier profiles, invoicing, payment preparation, and confirmation archiving. Next, we break down the process structure, human responsibilities, and exception control.
WHAT I CREATEDThree documents, a set of checkable processes.
01 / SKILLWrite business rules into operating specifications
Receiving and classifying, ticket reading, items and accounts, double deduplication, data conditions, status and exceptions. Keep revision records to indicate which rules have been overridden by subsequent versions.
02 / READMEGive taker an entrance
Explain how the workflow is organized, how data and documents are connected, what should be checked before execution, and reduce the situation where process knowledge only exists in personal memory.
03 / END-TO-END MAPLink responsibility and evidence
From receipt of invoice to payment confirmation, supplier notification and filing, automatic preparation, business approval, bank operations and accounting handover are distinguished.
Source: SKILL, README and SILVERLINE AP END TO END WORKFLOW provided by me. The original article contains internal information and remains local. Process documentation can be verified; no unmeasured time savings, accuracy, or payment amounts are used as grades.
PROCESS / EVIDENCEEach step has input, output and stop conditions.
VERSION / SCOPEAs the rules are tightened, the scope of execution also changes.
Subsequent revision on October 8: Only manually created batches and existing tables are updated; each actual invoice corresponds to one row. No new batches are automatically created, no old rows are re-imported from the historical ledger, and no original files are moved around. The early end-to-end design is retained as history, and the applicable version must be confirmed before reuse.
MY CONTRIBUTIONTranslation from business to system
Divide financial operations into fields, status, judgments, responsible persons and completion evidence, so that the person taking over knows what to do next and when to stop and check.
CONTROLSTreat exceptions as part of the process
Entity conflicts, partial payments, missing information, historical duplications and old receipts are handled separately to avoid covering up different statuses with one "complete".
NEXT VALIDATIONEvaluation with real samples
The next step is measurable field accuracy, abnormal missed detection, number of manual corrections and unfounded status updates. Here is the evaluation scenario, test results have not been reported yet.
